POTENTIA PILATES – TERMS & CONDITIONS (NOV 2025 Update)
Potentia Pilates Pty Ltd operates Pilates studios at:
Templestowe Studio: Shop 1, 22 Newmans Road, Templestowe VIC 3106
Mount Eliza Studio: 65A Mount Eliza Way, Mount Eliza VIC 3930
Templestowe offers Mat, Reformer and Infrared Sauna services.
Mount Eliza offers Reformer Pilates only.
By purchasing, attending or using any service, you confirm you have read, understood and agree to these Terms & Conditions.
1. Studio Capacities
Templestowe Reformer: 10 reformers
Templestowe Mat: 15 mats
Templestowe Infrared Sauna: 2 infrared saunas in a shared room.
Mount Eliza Reformer: 10 reformers.
Bookings must adhere to cancellation and attendance policies to ensure fair access.
2. Pricing & Payment
All prices are in AUD and include GST.
All purchases are exclusive of platform, processing and card fees. These may be added by our payment provider and booking system platform (Momence and Stripe).
Prices and offers are subject to change without notice.
All sales are final for change of mind, illness, injury or relocation. Potentia Pilates does not offer refunds or transfers in these cases. However, you are entitled to a refund, repair, replacement or other remedy if your purchase is faulty, significantly different from its description, or otherwise fails to meet a consumer guarantee under Australian Consumer Law.
Potentia Pilates is not responsible for bank charges or third-party processing fees.
3. Bookings
All bookings must be made via the Potentia Pilates App or Website, with payment required at the time of booking. Class sizes are limited, so we recommend booking ahead to secure your spot.
Please arrive at least five minutes before class to check in, advise your instructor of any injuries or conditions, and get set up. If it’s your first visit, arrive 10 minutes early for a brief equipment and safety overview.
Late arrivals may not be permitted once class begins to ensure a safe and uninterrupted session. By booking, you agree to our Terms & Conditions and Cancellation Policy. Potentia Pilates reserves the right to reschedule or cancel classes due to instructor availability, low attendance, or unforeseen circumstances.
4. Cancellations & Attendance Policy
Early Cancel (Free): Cancel 5 hours or more before class start time — no fee and no session forfeited.
Late Cancel ($5): Cancel less than 5 hours before class start time — session forfeited and fee debited within 48 hours of attendance.
No-Show ($10): Failure to attend or arrive within the one-minute grace period after class start time — session forfeited and fee debited within 48 hours of attendance.
All Late Cancel and No-Show fees are direct debited from your nominated account on file.
Cancellations must be made via the Potentia Pilates App, Momence App or Website only (we cannot accept email or phone cancellations).
5. Direct Debit Consent (for Weekly Memberships)
By purchasing a membership, you authorise Potentia Pilates and its third-party billing provider to automatically debit your nominated account weekly for membership fees and applicable charges (e.g. Late Cancel or No-Show fees).
You acknowledge and agree that:
Fees are billed in advance on a weekly basis for Memberships, unless otherwise stated.
You are responsible for ensuring sufficient funds are available in your nominated account on the scheduled debit date.
Any bank, processing, or platform fees associated with failed or returned payments are your responsibility and may be charged in addition to the membership fee.
If a payment fails, Potentia Pilates may attempt to re-run the debit up to three times within a 7-day period.
After three consecutive failed payment attempts, your membership will be automatically suspended until the outstanding balance is paid in full.
During any suspension period, you will not be able to book or attend classes.
Potentia Pilates reserves the right to recover any outstanding fees via your nominated payment method or other lawful means.
By entering into this agreement, you acknowledge that this authority will remain in place until your membership is cancelled in accordance with the cancellation policy.
6. Memberships & Pricing
Potentia Pilates offers a range of weekly and upfront membership options across both studios. All prices are listed in Australian Dollars (AUD) and are subject to change without notice. The most up-to-date pricing is available at www.potentiapilates.com.au.
Weekly Memberships
Unlimited Membership – $69 per week. Includes unlimited access to group classes. Available at both studios. For Templestowe, this membership includes one Sauna Session per week.
Half Membership – $60 per week. Includes access to three group classes each week. Available at both studios. Unused credits will rollover into the following week, if still unused after then, credits will be forfeited.
Mini Membership – $50 per week. Includes access to two group classes each week. Available at both studios. Unused credits will rollover into the following week, if still unused after then, credits will be forfeited.
Student Membership – $49 per week. Includes unlimited access to group class. A valid student ID must be provided. Available at both studios.
Mat Membership – $40 per week. Includes unlimited access to Mat Scult, Yoga, and Sound Bath classes. Available at Templestowe only.
Upfront Memberships
6-Month Upfront Unlimited Membership – $1,500. Provides unlimited class access for six months. For Templestowe, this includes 24 complimentary infrared sauna sessions.
12-Month Upfront Unlimited Membership – $2,400. Provides unlimited class access for twelve months. For Templestowe, this includes 52 complimentary infrared sauna sessions.
Upfront memberships are one-off payments and do not auto-renew, extend, or suspend for any reason.
7. Class Packs
Potentia Pilates offers flexible Class Pack options that allow clients to attend sessions without committing to a weekly membership. All Class Packs are valid for 12 months from the date of purchase, unless otherwise stated, and are non-refundable, non-transferable, and may not be shared. Prices are in Australian Dollars (AUD) and subject to change.
Class Packs
100 Class Pack – $1,800 (24-month expiry)
50 Class Pack – $950
20 Class Pack – $450
10 Class Pack – $250
5 Class Pack – $130
Casual Class – $35 per session
Class Packs provide access to regularly scheduled group classes only and do not include access to private classes, guest instructor events, workshops, or special classes.
8. Infrared Sauna Packs (Templestowe only)
10 Sauna Sessions – $250
5 Sauna Sessions – $140
3 Sauna Sessions – $90 (valid for 3 months from first booking)
1 Sauna Session – $35
Extra Person Add-On – $15 per session
All Sauna and Pilates Class Packs must be paid for in full at the time of purchase. Unused sessions will expire after the validity period and cannot be refunded, extended, or transferred for any reason.
Class Packs are non-refundable, non-transferable and may not be shared.
9. Membership Rules
All weekly memberships have a minimum term of 16 weeks. After this period, memberships will automatically continue on a rolling basis until cancelled. To cancel, please email hello@potentiapilates.com.au with at least two weeks’ notice.
Requests to suspend a membership must be submitted via email at least three business days before the intended start date of the suspension. Memberships may be placed on hold for a minimum of two weeks and a maximum of six weeks per instance, with a total of up to twelve weeks of suspension permitted per calendar year.
Unused class credits from Mini and Half Memberships will automatically roll over into the following billing period if not used; however, they will not carry over beyond one additional week. Once expired, unused credits are forfeited and cannot be reinstated.
Upfront memberships cannot be paused, extended, or transferred under any circumstances, except in cases of serious illness, injury, or medical condition supported by a valid medical certificate and at Potentia Pilates’ discretion.
The complimentary weekly sauna session included with the Unlimited Membership at the Templestowe studio does not roll over. If unused within the weekly billing period, it expires at the end of that week and cannot be carried forward or credited.
Mat classes are available exclusively at Templestowe, while Reformer classes are available at both studios.
Student Memberships are available to clients under 25 years of age who hold a valid student ID at the time of sign-up and renewal.
10. Intro Offers
Potentia Pilates Intro Offers are designed to give new clients the opportunity to experience the studio before choosing an ongoing membership. These offers are available once only per person and are not transferable between individuals.
Unlimited Group Classes for $99 – Valid for 30 days from the date of your first class booking or attendance, whichever occurs first. Available at both studios.
Sauna Intro Pack – 3 Sessions for $75 – Valid for 3 months from the date of your first sauna booking. Available at Templestowe only.
Intro Offers cannot be paused, extended, shared, or repurchased, and are not eligible for suspension or refund under any circumstances, except as required by Australian Consumer Law.
All bookings under Intro Offers are subject to Potentia Pilates’ standard Cancellation Policy. Clients found to be purchasing or redeeming multiple Intro Offers may have their access suspended and charged the standard class rate for any additional usage.
11. General Studio Rules
To ensure the comfort, safety, and enjoyment of all clients, the following studio policies apply at all times:
Arrival Time: Please arrive at least five minutes before class to allow time to check in, set up, and discuss any injuries or considerations with your instructor. Studio doors will lock one minute after the class start time to maintain safety and avoid disruption. Late arrivals beyond this one-minute grace period will be marked as a no-show.
Grip Sock Policy: Grip socks are compulsory for all classes to ensure safety, hygiene, and equipment care. Socks can be purchased at the studio if required. Instructors may permit socks to be removed for certain movements if necessary for safety or stability.
Personal Belongings: Potentia Pilates is not liable for lost, stolen, or damaged personal items. Each studio provides a designated Lost & Found area, where items will be held for up to six months before being donated or disposed of if unclaimed.
Class Minimums: Classes require a minimum of two participants to proceed. Potentia Pilates reserves the right to cancel or reschedule classes if this minimum is not met.
Age Policy: Participants must be 16 years or older to attend classes. Exceptions may be considered for minors aged 14–15, provided a Minor Participation Waiver is completed by a parent or guardian, who must remain present for the duration of the session. The studio reserves the right to refuse participation if it deems the class unsuitable for the minor’s safety or wellbeing.
Children and Observers: For safety reasons, children and non-participants are not permitted in the studio during sessions.
Potentia Pilates reserves the right to modify, suspend, or cancel classes, instructors, or services at any time, including for public holidays, maintenance, or instructor illness. Any affected sessions will be credited back to the client’s account. No financial compensation will be provided for schedule changes or temporary closures.
12. Health, Safety & Participant Acknowledgement
By participating in any class or session at Potentia Pilates, you confirm that you are in good physical condition and have obtained medical clearance to exercise if you have any injuries, pre-existing conditions, physical limitations, or are pregnant or postpartum.
You acknowledge and agree that:
Potentia Pilates instructors are not medical professionals and do not diagnose, treat, or prescribe for any medical condition.
It is your responsibility to inform your instructor prior to each class of any injuries, medical conditions, physical limitations, or changes in your health that may affect your participation.
You will use all equipment and perform all movements as instructed, with due care for your own safety and the safety of others.
Potentia Pilates and its instructors are not liable for any injury, loss, or damage arising from failure to disclose relevant health information, misuse of equipment, or failure to follow instructor guidance.
Participation in all classes and use of studio facilities is undertaken at your own risk. By attending, you release Potentia Pilates and its staff from any and all claims or liabilities that may arise through your participation, except as required by law.
Sauna sessions are not recommended for individuals who are pregnant, have cardiovascular conditions, suffer from heat sensitivity, or are otherwise advised by a healthcare professional to avoid elevated temperatures. You must consult your healthcare provider before using the sauna if you have any existing medical concerns, conditions, or are taking medication that may affect your ability to tolerate heat.
All sauna clients are required to read, understand, and sign a separate Sauna Waiver Form prior to their first session. This waiver outlines safety protocols, contraindications, and the assumption of risk associated with sauna use. Entry will not be permitted without a signed waiver on file.
You agree to follow all sauna usage guidelines provided by Potentia Pilates, including session time limits, hydration recommendations, and towel requirements. Potentia Pilates is not liable for any injury, illness, or adverse reaction arising from misuse, overexposure, or failure to comply with sauna safety instructions.
13. Health & Hygiene Policy
For the wellbeing of all clients and staff, please refrain from attending classes or sauna sessions if you are unwell, contagious, or experiencing cold or flu-like symptoms.
Clients are expected to wipe down reformers and equipment after use. Towels are required for all sauna sessions. Potentia Pilates reserves the right to refuse participation if a client presents unwell or poses a potential health risk to others.
14. Gift Vouchers & Promotion
Gift vouchers and promotional credits are valid for three years from the date of issue, unless otherwise stated. They are non-refundable, cannot be exchanged for cash, and must be used within the stated validity period. Promotional offers are subject to change and may be withdrawn at any time.
15. Governing Law
These Terms & Conditions are governed by the laws of the State of Victoria, Australia. Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Victoria.

Potentia Pilates Pty Ltd respects your privacy and is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Collection of Personal Information
We collect personal information necessary to provide and improve our products and services, manage bookings, process payments, and communicate with clients.
The type of information we collect depends on your interaction with us and may include your name, contact details, billing information, date of birth, emergency contact details, health or injury information relevant to participation, and account or transaction history.
We may collect this information directly from you when you:
Create an account, make a booking, or purchase a product or membership
Communicate with us in person, online, or through our App
Subscribe to marketing updates or participate in promotions
If you choose not to provide required information, we may be unable to deliver our services to you.
Use and Disclosure
Your personal information will be used only for the purposes for which it was collected or as otherwise permitted by law, including to:
Deliver and manage Pilates classes, memberships, and sauna bookings
Communicate with you regarding class updates, schedules, or promotions
Process payments and manage your account
Ensure health and safety within our studios
We may share information with trusted third-party service providers (such as Momence for bookings, Stripe or other payment processors, and our marketing platforms like Klaviyo) who assist us in operating our business. These third parties are required to keep your information confidential and use it only for authorised purposes.
Potentia Pilates will never sell or rent your personal information to external parties.
Storage and Security
We take reasonable steps to ensure the personal information we hold is accurate, up-to-date, and secure. Your data is stored on protected servers, and we use administrative and technical safeguards to prevent unauthorised access, misuse, or disclosure.
If you create an online account, you are responsible for maintaining the confidentiality of your login credentials and for notifying us immediately of any suspected unauthorised use. Potentia Pilates is not liable for loss resulting from unauthorised access beyond our reasonable control.
Access and Correction
You may request access to, or correction of, the personal information we hold about you at any time by contacting us at hello@potentiapilates.com.au. We will respond to all requests within a reasonable timeframe, in accordance with the APPs.
Marketing Communications
By joining Potentia Pilates, you consent to receiving marketing communications about classes, events, or promotions. You may opt out at any time by using the “unsubscribe” link in emails or contacting us directly.
Third-Party Links
Our website and App may contain links to external websites. Potentia Pilates is not responsible for the privacy practices or security of these third-party sites.
Updates to this Policy
We may amend this Privacy Policy from time to time. The most current version will always be available on our website at www.potentiapilates.com.au. Continued use of our services after changes take effect constitutes your acceptance of the updated policy.

Disclaimer
By participating in any class, session, or activity at Potentia Pilates, you acknowledge and agree to the following:
You understand that Pilates and sauna use involve physical exertion, and as with any form of exercise, there is an inherent risk of injury, accident, or aggravation of pre-existing conditions.
You agree that you have consulted your physician or other qualified healthcare provider before commencing participation to ensure that Pilates and related activities are appropriate for your health and fitness level.
You warrant that you are in good physical condition and have no medical reason or impairment that would make participation unsafe or detrimental to your health.
You acknowledge that Potentia Pilates instructors are not medical professionals and cannot provide medical advice, diagnosis, or treatment. All exercise guidance is general in nature.
You agree to inform your instructor prior to each class of any relevant injuries, conditions, limitations, pregnancy, or changes in your health status that may affect your participation.
You accept full responsibility for your own health and safety during all classes, and agree to use all equipment in the manner instructed.
To the fullest extent permitted by law:
Potentia Pilates, its directors, employees, instructors, contractors, and partners are not liable for any injury, loss, or damage you may suffer arising from your participation, except where such liability cannot be excluded under Australian Consumer Law.
You voluntarily assume all risks associated with participation, including those resulting from your own acts or omissions, or from the misuse of equipment or failure to follow instructor directions.
By attending a class or session, you acknowledge that you have read, understood, and agree to this Disclaimer and the full Terms & Conditions of Potentia Pilates.
INFORMED CONSENT & LIABILITY WAIVER
By attending Potentia Pilates and participating in classes, you will be performing physical activity and exercise which has an inherent risk of personal injury. Participating in Classes is undertaken at your own risk.
You must inform instructors if there are any risks to your health by participating in Class, including in a Class, such as if you have a pre-existing injury, illness, muscle soreness/discomfort or are pregnant, prior to commencement. Participating in any form of exercise at Potentia Pilates with a Medical Condition is done entirely at your own risk.
You acknowledge that your participation in any form or exercise at our studios may involve risks, including risk of personal injury. I understand I am not obliged to perform, nor am I obliged to participate in any activity that I do not wish to do, and that it is my right to refuse such participation at any time during classes. I will inform Potentia Pilates of any symptoms or concerns before, during and after session participation.
Potentia Pilates instructors and studio staff are not medically trained and are therefore not qualified to assess whether clients are in good physical condition and/or that clients can engage in exercise without detriment to their health, safety, comfort or physical condition. Clients are advised to seek medical advice prior to commencing any exercise program if they are in any doubt about their ability to engage in exercise.
By participating in our classes, you agree that our liability in relation to recreational services (as that term is defined in section 139A of the Competition and Consumer Act 2010 (Cth)) for any death, physical or mental injury (including aggravation, acceleration or recurrence of any such injury), the contraction, aggravation or acceleration of a disease, the coming into existence, aggravation, acceleration or recurrence of any other condition, circumstance, occurrence, activity, form of behavior, course of conduct or state of affairs that is or may be harmful or disadvantageous to you or the community, or that may result in harm or disadvantage to you or the community, that may be suffered by you as a result of the supply of recreational services by Potentia Pilates is hereby excluded, save that this limitation of liability does not apply to significant personal injury suffered by you as a result of reckless conduct by Potentia Pilates in supplying the recreational services.
You acknowledge that our instructors may use tactile cueing and adjustment methods, or make physical contact with you for correction, safety & guidance purposes in order to ensure that your Pilates practice is undertaken in accordance with Potentia Pilates best practice. This is always done in a respectful and professional manner. Please discuss with your instructor if you have any concerns about this policy.
Pregnant Clients: Potentia Pilates can accommodate pregnant clients in all classes unless you are experiencing complications in your pregnancy. If you are new to reformer Pilates or fitness, we highly recommend clearance from your doctor, women’s health physio or OBGYN to participate in classes.
